Privacy & Data Protection Policy

Effective date: 30 September 2026. Applies to usewetrack.com.

Section 1 — Who we are

This Privacy Policy explains how [Registered Company Name] ("we", "us", "our"), the company behind WeTRACK and the website usewetrack.com, collects, uses, shares and protects personal data. We are the data controller for the personal data described here and, for the purposes of India's Digital Personal Data Protection Act, 2023 (the "DPDP Act"), the Data Fiduciary.

Section 2 — What this policy covers

We use this policy for two groups of people: visitors to usewetrack.com, and professionals we correspond with in a business context. Where we process data as a service provider for a customer, the customer's own privacy notice and our agreement with that customer apply instead.

Section 3 — Where the data comes from

We obtain personal data (a) directly from you; (b) from publicly available sources, such as company websites, professional networking profiles, trade directories and published import-export records; (c) from licensed business-information providers that confirm to us that they collected the data lawfully; and (d) from referrals by people who know you professionally.

Section 4 — Information we hold

We limit collection to what is needed for business correspondence:

  • Your name, role, organisation and the business email address and phone number associated with that role;
  • Information about your organisation, such as its website, sector, the trade lanes it serves and publicly available import or export records;
  • Records of our correspondence, including your replies and whether a message was delivered or returned; and
  • Basic technical information (IP address, browser and timestamp) logged automatically by our web host when you load this page.

We do not seek, and ask you not to provide, sensitive personal data such as health, financial account or identity-document information.

Section 5 — Purposes and lawful grounds

Purposes. Business outreach about our services; handling your enquiries; maintaining a do-not-contact record; security and fraud prevention; and regulatory compliance.

Grounds. For individuals covered by the GDPR: legitimate interests (Article 6(1)(f)), limited to your professional role and always subject to your right to object; and compliance with legal obligations (Article 6(1)(c)). For individuals covered by the DPDP Act: publicly available data made available by you, legitimate uses permitted by the Act, and consent where required, which can be withdrawn at any time.

Section 6 — Stopping our emails

You can stop hearing from us at any time, without giving a reason. A one-word reply such as "stop" or "unsubscribe" is enough, as is an email to privacy@usewetrack.com. Your request applies to every WeTRACK domain and sender, and is actioned within 10 business days at the latest. To honour it permanently, we retain only your email address and the date on a do-not-contact list.

Section 7 — Exercising your rights

  1. Access and a copy of your data;
  2. Correction, completion and updating;
  3. Erasure;
  4. Objection, including to direct marketing at any time;
  5. Restriction of processing;
  6. Portability;
  7. Withdrawal of consent;
  8. Nomination of a representative (DPDP Act); and
  9. Grievance redressal.

Contact privacy@usewetrack.com. Requests are free, answered within 30 days, and may require reasonable identity verification. You may escalate unresolved concerns to the Data Protection Board of India or to your local supervisory authority.

Section 8 — Who we share it with

We do not sell or rent personal data, and we do not share it with third parties for their own marketing. We share it only with:

  • service providers that host our email, send and manage our correspondence, verify email deliverability, store our customer-relationship records or host this website, each bound by written confidentiality and security obligations and permitted to use the data only on our instructions;
  • professional advisers such as lawyers and auditors, under a duty of confidentiality;
  • courts, regulators or law-enforcement authorities where the law requires it, or where necessary to establish, exercise or defend legal claims; and
  • a successor entity in a merger, acquisition or reorganisation, which will remain bound by this policy.

Section 9 — Data location

Data may be held on servers in India, the United States, the European Union or other locations used by our processors. Every such transfer is protected by contractual safeguards recognised under the applicable law, including Standard Contractual Clauses where required, and complies with any transfer restrictions notified under the DPDP Act.

Section 10 — How we protect it

We apply reasonable security safeguards appropriate to the risk, including encryption in transit (TLS), access limited to named staff who need it, individual accounts protected by two-factor authentication, and due diligence on our service providers. No method of transmission or storage is completely secure. If a personal data breach occurs, we will notify affected individuals and the relevant authorities, including the Data Protection Board of India, as the law requires.

Section 11 — Retention

We keep personal data only for as long as it serves the purpose for which it was collected. Outreach records are erased or anonymised no later than 24 months after our last meaningful contact, or sooner if you ask us to stop. Records of business relationships are kept for their duration plus any statutory retention period. Web-server logs are kept briefly for security. The one exception is our suppression list, which holds the minimum needed (email address and date) for as long as necessary to ensure we never contact you again.

Section 12 — No cookies on this site

usewetrack.com is a static page. It does not use cookies, pixels, analytics tools or third-party embeds of any kind. Our web host records basic request information for security, and nothing else is collected when you browse.

Section 13 — Profiling

We do not carry out profiling or solely automated decision-making that would produce legal or similarly significant effects for you.

Section 14 — Children

Our services are intended for businesses. We do not knowingly collect personal data from anyone under 18. If we learn that we have, we will delete it promptly.

Section 15 — Updates

This policy may be revised to reflect changes in law or in our practices. The current version is always published on this page with its effective date. Material changes will be highlighted here, and we will not reduce your rights under this policy without your consent where such consent is legally required.

Section 16 — Jurisdiction and severability

This policy shall be construed in accordance with the laws of the Republic of India, and the competent courts at Thane, Maharashtra shall have jurisdiction, subject always to mandatory consumer and data-protection rights in your jurisdiction. The invalidity of any clause shall not affect the validity of the others. No provision of this policy is intended to exclude or restrict any statutory right.
